Documents and items related to this project: *

* Note: most of the final versions of PowerPoint slides have not been posted to the website due to the large size of these files.  These files will be added to the website at the time of decommissioning (i.e. the date we "turn off" the website), so that the new co-chairs for 2006 will have ALL KNOWN files in one place.

---ARTWORK---
Beryl brought along an example of the mailer that will be sent to high school counselors and outreach personnel.  Also, Beryl showed an example book cover using the same artwork for the 2005 workshops.  Dennis found an example of this artwork on the EdFund website.  It looks a little like this:

---IMPORTANT DATES---
Dennis went over some important dates, and here are the outstanding dates we will need to contend with:

Because of the time span between our final in-person meeting (August 4) and the date the workbooks must be finished (September 5), we have a few weeks where we can still make adjustments to the presentations, the selecting of materials for the bag, and the selecting of reference items.  Because we will not have enough time to schedule a meeting for all the committee members (even if we teleconference), the presentation slides will be posted to the website for review by committee members.

---BAG ITEMS---
In addition to the workbook, we also hand out bags with other items to all the attendees. Based upon items we included last year and comments from the committee this year, here is the list of items for bags for 2005:

We will also add in the premium items and printed items from the sponsors.

---SESSIONS AND PRESENTATIONS---
Here is the rundown of sessions we'll be offering at the workshops.

In the morning, all attendees will see: Federal Program and Application Process Changes for 2006-07, covering:

This session is presented by the "CASFAA" person (the person from CASFAA or, in many cases, our committee).

The next session is the Cal Grant Update, covering:

This session is presented by the CSAC/EdFund person (self-explanatory, I hope).

The last session for the morning is California Cash for College, covering:

Despina (CA Cash for College coordinator at CSAC) will have regional or local CA Cash for College personnel or other volunteers lined up to present this session.

The afternoon has two tracks: Section A is meant primarily for newer counselors, and covers two sessions:

Overview of Financial Aid Programs and Other Topics, covering:

And the second part of Section A is a FAFSA Review Line-By-Line.

Section A is presented by the CASFAA person.

Section B has our two new sessions and is presented by the EdFund/CSAC person. The sessions offered are:

Tips on Evaluating an Offer of Financial Assistance, covering:

And the second part of Section B is Helping Families Who Don't Qualify for Need Based Aid, covering:

---FUND DEVELOPMENT---
We would like to have 5 lenders participate in the bag item portion of our Fund Development project (which will raise a total of $5500 towards our committee's expenses), so other lenders or organizations that would like to get involved should contact Dennis right away.  Dennis indicated that we have 4 lenders who've shown interest in supporting our committee through the $1100 bag insert part of this project.  As an FYI to lenders on the committee who have indicated interest: (a) Please have someone from your organization contact Kat Clough (kclough@cci.edu), the CASFAA Fund Development person, regarding submitting payment, and then (b) contact me and/or Anafe regarding the details of submitting your printed and premium items for bag insertion.  Anafe and I just need to make sure your printed items conform to the general specifications given in our committee's Statement of Purpose, and that we make sure that we have a variety of premium items from the sponsors.

Also, one lender has committed to funding/purchasing all the snacks for the bags.

September 30 / EXTENDED to October 7 - All items that are going into the bags must be at our "stuffing" location.  Bryan has said that CSAC will stuff the bags for us again this year.  Here is the address to ship items directly to:

From information provided by Bryan Dickason at CSAC, individual lender representatives, Kat Clough (CASFAA Fund Development Coordinator), and others, here are the known sponsors for this year's High School Counselor Workshops:

As of today, I do not know if all lenders have made payment to Kat Clough, but according to our information all lenders mentioned above have supplied items that have been stuffed into the bags received by workshop attendees.

Other items of importance
Below are some emails I've cut/pasted with important information about the project

Email from Despina (CSAC) regarding a school district wishing to sponsor lunch at one of the workshop sites:

Subject: Sponsor for Redding High School Counselor Lunches

Hi there,

I wanted to let you know Marylee Boales with the Shasta Union High School District called me, as we are working together on Cash for College stuff, about using some of her grant funding (under the EDFUND Outreach Grantee program)  to pay for lunch for the high school counselors at the workshop in Redding.

I have checked with Ron at EDFUND, Nora Bruce at EDFUND and Bryan here and they are okay with it. I think since CASFAA is hosting these too, that you should confirm that it's okay as well.

Marylee will take care of the arrangements and so other than asking for a headcount from last year to make a ballpark reservation, and then a head count about a week out, there are no other requests of the group.

I offered to check it out for her initially, but really, she should be communicating with you all directly. Here is her contact info:

Shasta Union High School District
2200 Eureka Way, Redding CA 96001

Thanks,
Despina

Subject: High School Counselor Workshop

Hi Marylee,

It was a pleasure talking with you.  It's evident that all the efforts
you are putting forth are making a positive impact on the community up
there.  You ARE making a difference!

On behalf of the California Student Aid Commission (CSAC), the
California Association of Student Financial Aid Administrators (CASFAA)
and EDFUND, I wanted to thank you for your offer to provide lunch for
the participants at our October 25th High School Counselor Workshop at
the Redding Holiday Inn.  This is a generous offer and I am sure the
participants will appreciate the gesture.

Shortly, we will be contacting the hotel's catering staff to inform
them that you may be contacting them soon to make arrangements for this
lunch.  We want to make sure they are aware that they have our approval
to make such arrangements with you.

To that end, I also wanted to provide you with their contact
information.  The telephone number to the Holiday Inn Redding is
530-221-7989.  Our contacts in the catering office are Lynn Kay and Lori
Nipar.

As I mentioned, over the course of the past three years, attendance at
the Redding workshop has ranged from 55 to 87, and as of this afternoon,
55 are currently registered for October 25th.

I also wanted to let you know that we will not be able to make any
advance announcements of the lunch you are providing, but we wanted to
give you a few minutes at the beginning of the training event to
introduce yourself and the fact that you/your organization is providing
lunch....or if you prefer, you can share that information with us and we
can make the announcement for you.

We are looking forward to a successful event!

Thanks again,

Ron Lee

Email from CA Community College Chancellor's Office (and responded to by Dennis) regarding items they were supplying for the workshop bags:

To: denniss@glendale.edu
Subject: CCC Statewide FinAid Campaign Collateral Materials for
 CASFAA/CSAC/EdFund Counselor Training Workshops Bags

Thank you for the update on the items you're sending. I will get in
touch with Brenda (and her replacement) and Bryan to let them know what
is coming.

> Hi Dennis,
It was nice talking to you last Thursday regarding the CASFAA/CSAC/EDFUND
Counselor Training Workshop bags. I talked to our advertising PR agency
and we will deliver the following items to CSAC by the dates listed next
to them -

To be delivered to CSAC on Friday, September 30
* 3,000 pieces of the two-sided "I Can Afford College" English handout -
"The Bill"
* 3,000 pieces of the www.icanaffordcollege.com bracelets
* 3,000 copies of the CCC General Brochure (with information on how to
enroll in a CCC, the types of programs and degrees/certificates/transfer
programs offered, general financial aid information)
* 3 boxes of "I Can Afford College Backpacks/book bags (approximately 75) -
for door prize/give-aways

To be delivered to CSAC on Friday, October 7
* 3,000 "I Can Afford College" color order forms with information on how to
get all of the available collateral, promotional and advertising items.

Would you like to communicate this information to Brenda (at CSAC) or
would you like me to do so? Either way is fine - I just want to give her
the heads up that it's coming so she'll know what to do when everything
arrives. Also, I want her to know that our campaign was given
authorization to submit these items.

Please let me know the best way to proceed.

Thanks for all of your help! I'll look forward to hearing from you soon.

Take care,
Paige
